Privacy policy

1. Who we are

QuickPrice is operated by Hanse Media LTD, a company registered in England and Wales with its registered office at Unit 1 Office 1, Tower Lane Business Park, Tower Lane, Warmley, Bristol, BS30 8XT (“we”, “us”, “our”). We are the data controller for the personal data we collect through the QuickPrice website (quickprice.co.uk) and the QuickPrice mobile application.

2. What data we collect

We may collect the following personal data:

  • Account information: name, email address, business name, and trade category when you register.
  • Quote data: job descriptions (text, voice transcriptions, and photos), client details, and pricing information you enter into the app.
  • Usage data: how you interact with the app and website, including pages visited, features used, and session duration.
  • Device information: device type, operating system, app version, and unique device identifiers.
  • Payment information: subscription and billing data is processed securely by Stripe, our payment provider. We do not store card details on our servers. Stripe may independently retain transaction records, fraud-prevention data, and payment method identifiers in accordance with their own privacy policy and legal obligations.

3. Why we collect it (legal basis)

We process your data under the following lawful bases:

  • Contract: to provide the QuickPrice service, generate quotes, and manage your account.
  • Legitimate interest: to improve our products, fix bugs, and understand how tradespeople use the app.
  • Consent: for marketing communications and non-essential cookies. You can withdraw consent at any time.
  • Legal obligation: where we are required to retain data by law (e.g. financial records).

4. How we use your data

  • Provide and improve the QuickPrice service.
  • Generate AI-powered quotes based on your input.
  • Send transactional emails (e.g. quote confirmations, account updates).
  • Send marketing emails if you have opted in.
  • Analyse aggregated, anonymised usage data to improve the product.

5. Who we share it with

We do not sell your personal data. We may share data with:

  • Cloud hosting providers (for data storage and processing).
  • AI service providers (to process voice, text, and image inputs for quote generation).
  • Stripe (to handle subscription payments and billing). Stripe acts as an independent data controller for certain payment data it processes. See Stripe's privacy policy for details on what data they retain independently.
  • Analytics providers (anonymised usage data only).

All third-party processors are bound by data processing agreements and comply with UK GDPR.

6. How long we keep it

We retain your personal data for as long as your account is active or as needed to provide the service.

7. Account deletion

You may request deletion of your account at any time by visiting quickprice.co.uk/account/delete. The deletion process works as follows:

  • You provide your account email address and verify your identity with a one-time code sent to that email.
  • Once verified, your account is scheduled for permanent deletion after a 30-day grace period.
  • During the grace period, we will send you reminder emails at 14 days, 7 days, and 3 days before deletion, in case you wish to cancel.
  • To cancel a pending deletion, email us at info@hansemedia.co.uk before the deletion date.
  • After the 30-day period, we permanently delete your account data, including quotes, client information, templates, PDFs, and account settings. This action cannot be undone.

What we retain after deletion: we may retain minimal records required by law (e.g. financial transaction records for up to 6 years under HMRC requirements). These records are stored securely, are not used for any other purpose, and are deleted once the retention period expires.

Stripe data: Stripe processes payments as an independent data controller and may retain certain data (transaction history, fraud signals, payment method identifiers) in accordance with their own legal and regulatory obligations. We will request deletion of your Stripe customer record, but Stripe may independently retain data required for regulatory compliance, dispute resolution, or fraud prevention. Active subscriptions: if you have an active subscription when you request deletion, it will be cancelled immediately. You will not be charged again. Any remaining paid period will be honoured until the deletion date.

8. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data (“right to be forgotten”).
  • Restrict processing in certain circumstances.
  • Port your data to another service.
  • Object to processing based on legitimate interest.
  • Withdraw consent at any time where processing is based on consent.

9. Data security

We use industry-standard encryption (TLS in transit, AES-256 at rest) to protect your data. Access to personal data is restricted to authorised personnel only.
